Automatically assigning question sets

Question sets can be automatically assigned to references based on two criteria:

  1. A question set assigned to a candidate's Job
  2. A question set assigned to a reference's Relationship

Both can be configured in the Configuration panel.


Job-Based Assignment

When submitting a reference request, if you select a Job that has an associated question set, that question set will automatically be applied to all of the candidate's references by default.

You'll notice the Question Set field update automatically once a Job is selected. If you'd like to use a different question set for a specific candidate, simply change it after selecting the Job.


Relationship-Based Assignment

When a candidate fills in their references, they can specify the relationship they have with each reference (e.g., Manager, Colleague, Character). If that relationship has an associated question set configured, the reference will automatically be assigned that question set.

If no question set is associated with the selected relationship, the reference will retain the question set assigned via the Job or the original request.


Priority: Which Assignment Takes Precedence?

When both a Job and a Relationship have question sets configured, Relationship question sets take priority and will override the Job's question set.

Example: Suppose you've assigned a Nurse question set to a Nurse job posting — it includes questions relevant to coworkers and managers about clinical skills. If a candidate adds a character reference and selects the Character relationship, and that relationship has its own question set configured, the character reference will receive the Character question set instead of the Nurse one.

Tip: If you don't want a particular relationship type (like Character) to appear as an option for candidates, you can remove or edit it in the Configuration panel.
