Setting up DMARC to improve email delivery rate

DMARC is how Vitay can get permission to use your email addresses to send emails to candidates and references. Without DMARC, popular email providers (Google, Yahoo, etc.) will block these emails from getting sent, and thus reduce your response rate.

Imagine you receive a lot of letters in the mail, and you want to be sure that the letters are really from who they say they're from. DMARC (Domain-based Message Authentication, Reporting, and Conformance) is like a security system for email that helps you do just that. It checks incoming emails to make sure they’re truly from the right senders and not from scammers pretending to be someone else. If the emails don’t pass the check, DMARC can decide to either block them, mark them as suspicious, or let them through but alert you. This helps to keep your inbox safer and more trustworthy.

Because Vitay will send emails to references and candidates using the assigned recruiter's email address, we require DMARC to be in place to prove to email providers that we have permission to use the assigned recruiter's email.

Setting up DMARC may seem a bit technical, but this guide will walk you through the steps in a simple and straightforward way. You will likely need to be in touch with a technical representative for your company, so be sure to coordinate with them to set up DMARC properly.

In order to set your company up with DMARC, ensure you follow all these steps:

  1. Go to the Configuration panel > Developers to access the DMARC panel:

  2. Input your domain name and press Add Domain (for example, if your email is john.doe@example.com, you would put example.com as your domain name):

  3. Once the list of DNS records is generated, press the Download button to download the .csv file:

  4. Once you have the DNS records in a .csv file, you will need to add it to your existing DNS record for your domain policy. You will likely need to communicate with your IT department so they can set this up for you.

    The exact steps on how to do this varies based on where you purchased your domain, so we encourage you to search for a detailed guide for your domain provider (e.g. GoDaddy, Squarespace) on how to set up DMARC if you run into issues. For a more general guide on what to do on your end, please read this article made by Google on adding your DMARC record.

  5. After you add the DNS records to your domain's policy, you can verify that you set it up correctly by pressing the refresh button (shown in blue below). Any errors will be shown in red:

If you encounter these errors, it likely means that it wasn't set up properly on your domain's end. Please review your domain policy (from step 4) to ensure that the record was added properly.
